What goes into the number

Fewer no-shows. Your appointments per week × your no-show rate × the share reminders remove, each one counted at your average appointment value — the rate is yours to measure, and the reduction defaults to a third because that is roughly what trials of automatic reminders find.

Bookings taken after hours. The bookings you say you lose each week because nobody could answer, multiplied by the share you think would have booked online — both are your own estimates, and the second one is deliberately set at half.

Admin time back. The minutes a day your team spends arranging appointments, valued at the hourly rate you enter, on a five-day week — worth counting only if that time turns into paid work or a shorter day, so enter the part of it that really would.

Minus the subscription. The monthly fee comes straight off the total, and payback divides that fee by the daily gain to show how far into the month the software has paid for itself.

The figures circulating online — that most salon calls go unanswered, or that a salon loses six figures a year to them — have no traceable source, so this calculator does not use them. Every number above comes from a field you filled in.

What changes in practice, beyond the money

  • Bookings arrive while you work. A client books during your appointment instead of waiting for you to be free, and you see it when you look up.
  • Fewer interruptions. The phone stops ringing mid-colour, which is worth something to the client in the chair as well as to you.
  • Clients reschedule themselves. A move handled in the app is a slot that comes back early enough to refill, rather than a cancellation you hear about late.
  • The diary fills in the evenings. Most online bookings are made outside opening hours — the window in which nobody could have called you anyway.

How to check the assumptions in your own salon

Two weeks of counting replaces every estimate above with a measurement. It costs a notepad by the phone.

  1. Count the missed calls. Check the call log on the phone each morning for calls nobody answered and voicemails left overnight; divide the two-week total by two for the weekly figure.
  2. Count the no-shows. Mark every appointment that did not turn up, and every cancellation that came too late to refill. Divide by the appointments booked in the same two weeks for your real rate.
  3. Time the phone. Note the length of each booking call and each back-and-forth message thread for two days, then take the daily average.
  4. Put the three measured numbers into the fields above. If it still looks good, the number belongs to your salon and not to an industry average.

Frequently asked questions

Will my clients actually book online?

Most will, once they know it exists — and the ones who do tend to book outside opening hours, when calling was never an option. Expect the share to climb over a few months rather than on day one: it moves fastest if the booking link is in your Instagram bio, on Google, and in every confirmation message you send.

What about clients who prefer to call?

They keep calling, and you keep answering. Online booking is an extra door, not a replacement for the phone. The gain in this calculator comes from the bookings that would not have reached you at all, and from the routine ones moving off the phone so that the calls you do take are shorter.

Does online booking increase no-shows?

Booking online rather than by phone does not by itself make people turn up less; what reduces no-shows is what you attach to the booking. Automatic reminders, one-tap rescheduling, a written cancellation policy and a deposit on long services are the levers. If you switch on online booking and nothing else, expect your no-show rate to stay roughly where it is.

How long until it pays for itself?

The calculator answers this from your own numbers: it divides the monthly fee by the gain per day. For a salon of the default size that is about a day or two into the month, but the honest answer is the one your own appointment count, ticket value and missed-call count produce.

What does the calculator not count?

It counts revenue, not profit — the product and wage cost of the extra appointments is not deducted. It also leaves out the setup time, the cost of any SMS you send, the clients who rebook because the experience was easier, and the reviews a follow-up message brings in. The first two make the number optimistic, the last two make it conservative.
