When to send what
Reminders work because they are boring and predictable. Meta-analyses of SMS reminder trials — most of them in healthcare, where missed appointments are counted properly — find roughly a third fewer no-shows, with pooled odds of attendance around 1.62 against no reminder at all. A salon is not a clinic, but the direction is consistent, and the studies agree on the mechanism: the gain comes from messages that go out automatically, every time, not from remembering to send them on a quiet afternoon.
- At booking — the confirmation. It is also the written record of when, where, and what your cancellation window is.
- 24 hours before — the reminder. Late enough to be remembered, early enough that a cancelled slot can still be refilled.
- On the day — one short line. Time and place, nothing else. Two to three hours ahead is enough.
- After a no-show — the follow-up. Neutral wording and an easy way to rebook, sent the same day while the client still remembers.
- Six weeks later — the re-booking nudge. Match the interval to the service: four weeks for a fringe trim, six to eight for colour, longer for treatments.
Five messages is the ceiling, not the target. A client who books, arrives and rebooks should only ever see three of them.
What a reminder has to contain
- Who it is from. An unknown number gets ignored, so the salon name belongs in the first few words.
- When. Date and time together. “Tomorrow at 14:00” is read correctly far more often than “14:00”.
- Where, if you have more than one address or the client has never been to you before.
- How to change it, and how much notice you ask for. A cancellation you can refill costs you nothing.
- One action. Confirm, or reschedule, or book again — never all three in the same message.
Everything else — parking, how to prepare, this month’s offer — belongs in the confirmation email, not in the 160 characters that have to survive being read at a bus stop.
What to avoid
- Capitals and stacked punctuation. A line in all caps reads the way spam reads, and on some networks it is filtered like spam too.
- Three messages in one day. Past two, clients stop reading all of them, including the one that mattered.
- Guilt. “You did not show up and it cost us money” wins an apology and loses the client. Ask how they are and offer a new time.
- Sending at night. Nobody reschedules at 23:00, and the message is buried by morning. Keep sends between 09:00 and 20:00.
- Marketing dressed as a reminder. A discount code inside a confirmation changes what the message legally is, and what clients expect from the next one.
Frequently asked questions
How far in advance should I remind clients?
Two messages beat one: a confirmation when the appointment is booked, then a reminder 24 hours before. Twenty-four hours is the useful window — early enough that a cancelled slot can be refilled, late enough that nobody forgets again. For long or expensive services, add one short line on the morning of the appointment.
SMS or WhatsApp for appointment reminders?
SMS reaches every phone, needs no app and is usually read within minutes, which is why it is still the default for reminders. WhatsApp costs less per message and carries longer text and pictures, but only reaches clients who use it, and business accounts have their own rules about templates and who may be messaged first. A common split is to confirm by email, remind by SMS, and use WhatsApp only with clients who wrote to you there.
Is it OK to ask for a “YES” reply?
Only if someone reads the replies. A confirmation request nobody answers teaches clients that your messages can be ignored, and an unanswered message is not a cancellation — the slot stays booked. If no one is watching the inbox, leave the line out and make cancelling one tap instead.
Do I need consent to send appointment reminders?
A reminder about an appointment the client booked is a transactional message, part of the service they asked for, and in the EU it generally does not need separate marketing consent. Offers, campaigns and “we have not seen you in a while” messages are marketing and do need it — which includes the re-booking nudge here, so send that one only to clients who agreed to be contacted. Rules differ by country, so check yours.
What if the client does not reply?
Treat silence as “still coming”. Do not resend the same message: one reminder 24 hours before and, at most, one short line on the day is enough. If the appointment is long, needs a deposit, or the client has missed one before, call instead of sending a third message.
